Nice initiatif!
Antwerp or Brussels allready dumped as possible locations??
Because I read an argument from somebody that Gent is so far for people from Limburg, but now ur talking about The Zoo, which is really far for a lot of people

Ghent is easy, nice & good - have 2/3 places to crash there
Anyway, don't think we should rush into location stuff yet... Having a general idea where to do it isn't bad, but at the moment this organisation is a chicken w/o a head running & jumping around.... This thread is gonna be a mess if it continues like this (if not already too late 
)
For starters - who wants to help organizing things? We should first start with who is prepared to to and can do what. I suggest that everyone states here something like
I'm in
followed by a list what he is good for/is prepared to do

What we need:
Preparations
- Generic organisation:
Shouldn't have more than than 5 ppl for this. I suppose crew-members (thechronic - u there?
) and people with experience are preferred and they should be able to meet irl also w/o too much probz. General decisions should be made by these people (when/where/...) - with approval of the majority of the rest I suppose. They should have the final word. An odd number of people should be ideal for voting issues inside this group.
What should certainly be decided/organized by this group:
- When/where (location dependant, base on scouting)
- Insurance (sometimes included in location)
- Sabam (sometimes included in location)
- Estimate costs
- Entrance price
- Brewery (drinks etc)
- Accounting: One of these peepz (someone older than 18 ) has to be made responsible for the accounting, keeping track of all expenses + incomes.
- Financing:
People prepared to put (limited) money into it. We need extremely good agreements on this for when we end up with a gap, how to cover this, and not letting the money-funding peepz pay up everything. There is still a risk involved here, so we should be very carefull with this.
- Sponsoring:
Second part of the financing actually - people who look for sponsors. Anyone with (good) idea's/candidates - don't hold back
- Publicity:
- Graphic designer for flyer/banner
- Printing of the flyers
- flyering on other parties
- Investigate cost/possibility of putting up posters locally & on parties.
- Spamming on forums (everyone put a link/banner in his sig?
)
- Location scouting
- Material:
Maybe strange to put here, but we should know what we can have (for knowing expected costs)
Other decisions
- When profit after repaying financers - what to do with it (keep for organising next party / charity / organize event for crew or dnb.be / finance dnb.be / split between everyone)
- When depts - how to spread them.
- Who is "main organisation"
- Lineup
- Helper list
Party itself
- Bar/Entrance shifts
- DJ's & MC's (let's not forget them
)
- Accounting again (same person)
- Preparations on the location itself before the party
- Cleanup afterwards
Things I don't think are good idea's
- Unlimited free drinks for whole crew (as in: everybody, no exceptions). Such things kill a lot of starting party organisations, and It are usually a few people that end up paying everything. Better to have no (if everyone prepared) or limited amount of free drinks for the crew.
- Big name. Don't think that's a good way to start with it, I'm afraid it's gonna cost too much, but don't have any idea of the prices. I do have an idea about this for techno-events, but I think (actually hope) these aren't comparable.
General remarks:
Fee's for other DJ's are maybe discussable when profit is made, but then I actually think we should pay everyone in the crew. There are 3 ways to approach this I think:
- the "free" way: no-one gets payed
- the "communist" way: everybody that works or means anything gets payed the same (in whatever way possible, doesn't have to be money)
- the "capitalistic" way: the artists and investors get payed the most, then the main organisation - and the rest is or ripped off, or payed less.
Let's just say I'm not a fan of the capitalistic way in this case (maybe you noticed by my choice of words
), and would like to try and do this the free way
The intentions shouldn't be "make money" I think, so I would rather avoid this, and keep the money for a next party. Once we have this money, we can take risks with a bigger names. Paying 250euro's for an artist is a lot of money if your party attracts 30 people, and you already have a dept towards some people.
For a starting party this is unacceptable towards the "investors", unless they all agree to take this risk. If you aren't prepared/able yourself to invest money in it, and be prepared to take this risk, you shouldnt even start discussing this, it's not your money you're playing with. If there is a possibility - this first has to be discussed by the "main crew" + investors before taking any step towards such decisions. Investors should have the final word, that's where the money comes from.
I might get a bit upset here about the money stuff, but I've seen it a few times when something doesn't work out as well as expected/hoped, and then the troubles start - and the money is always a big cause/part of these fights. Don't wanna see this. Once a cash-reserve is there - no problem, spend it all on artists etc, you don't take a risk yourself.

- general organisation part (already organized some things) - but don't know if I will have the time (work :-/ ) Prepared to work in the background "thinking" anyway
- practical preparations before and on the party
- if really needed, can get some material also
- financially prepared to help as long as I'm not the only-one and we're not talking about 1000's of euro's

I like to party, so putting me at the desk or even worse, the bar, is not a good idear. I have to be honest about this
I don't have experience with party organising so I don't want to be part of the main group, but if I have idears I'll surely contribute them.

Had the same reaction/remark (chicken w/o head-part) but was too lame to take initiative.
If, from now on, everybody makes nice and clean posts according to the list/issues/points as Koffie stated, i can make a handy overview of everybody's points of input/interest/tasks which is useful for those who are going to organise this party in real life.
If we stick to Koffie's list, we can get somewhere.
Preparations - generic: i organisedseverel events before, so maybe i can help here.
- financing: not me!
- sponsoring: It's quite difficult to find sponsors for a party such as this. You can find sponsoring with people/companies you know personally. I'll check around.
- publicity: spamming & flyering (mainly antwerp)
- location: there's no location yet, but that will be decided later on with the generic-organise-kru!
- material: i'll hear around for prices (knowing the location is a good thing off course to know what material you'll be needing)

Party Itself
I'm willing to do some preparatory work, entrance, bar and off course dj'ing. If i'm not allowed to dj, i'll start mc'ing really close to everyone's ears! And mind you :i'll probably be the worst mc ever!!

I organised a party ( with an expection of 120 but there were 350 ) with almost no money so maybe i could be a very good help.(did also other party's in jouthmovement)
Only one thing : Im just 17 .
